Part-time A/V Coordinator County Board Meetings
Department: Information Technology
Location: Racine County
Schedule: Part-Time (primarily evenings for weekly County Board/subcommittee meetings; additional hours as needed), ~35-40 hours/month

Position Summary
The Part-Time A/V Coordinator is responsible for ensuring the smooth technical execution of weekly County Board meetings. This role oversees all audiovisual components of the meetings, including room setup, livestream management, audio/video capture, presentation support, and coordination with elected officials, staff, and the public. The ideal candidate is detail‑oriented, calm under pressure, and skilled at troubleshooting technical issues in real time.
Key Responsibilities
Meeting Operations & Production
• Set up and test all A/V equipment for County Board meetings, including microphones, cameras, displays, and control systems.
• Operate equipment during meetings to ensure clear audio, stable video, and proper presentation playback.
• Manage hybrid participation platforms such as Zoom or Teams, ensuring remote attendees can hear, be heard, and be seen when appropriate.
• Switch camera feeds, manage overlays, and monitor recording levels throughout the meeting.
• Ensure compliance with County open meeting and transparency requirements regarding recordings and livestreams.
Livestreaming & Recording
• Manage livestreams to public platforms and ensure stable transmission throughout the meeting.
• Monitor audio/video quality in real time and correct issues immediately.
• Save, label, and archive meeting recordings according to County records retention policies.
• Provide recordings or clips to County Clerk’s Office or other departments as requested.
Technical Support & Troubleshooting
• Serve as on‑site technical support for all presenters, board members, and staff before and during meetings.
• Diagnose and resolve A/V hardware or software issues promptly to minimize disruptions.
• Test backup systems and implement contingency plans when needed.
Room & Equipment Management
• Maintain and routinely test microphones, speakers, amplifiers, switchers, cameras, computers, and other A/V components.
• Coordinate with IT staff on equipment repairs, upgrades, or replacements.
• Keep the board chambers organized, functional, and ready for use.
Administrative & Collaborative Responsibilities
• Collaborate with the County Clerk, IT Department, and Board Chair to support meeting agendas and presentation needs.
• Provide recommendations for improving meeting audio, video, and hybrid participation quality.
• Document A/V workflows, settings, and procedures to standardize operations.
Qualifications
• Experience with meeting or event A/V production (government, corporate, or nonprofit experience preferred).
• Strong familiarity with streaming platforms, A/V switchers, microphones, and camera systems.
• Ability to operate hybrid meeting solutions like Zoom, Teams, Webex, or similar platforms.
• Proven troubleshooting skills under time-sensitive conditions.
• Excellent communication and customer service abilities.
• Ability to work evenings consistently for weekly County Board meetings.
Preferred Skills
• Knowledge of open meeting laws and public transparency requirements.
• Experience with multi-camera room systems, A/V control software, or broadcast-style equipment.
• Basic video editing or processing experience for clipping and posting meetings.
